Merging Cases
Consolidating duplicate or related cases into a single record in SafeGrounds
Introduction
The Merge feature allows two cases to be consolidated into a single record when they are determined to be duplicates or should otherwise be combined. The merge process must be initiated from the case you intend to keep.
When a merge is completed:
- The case you are currently viewing is retained
- The case you search for is permanently deleted
- The deleted case is exported as a zip file and attached to the retained case
- Applicable selections and data from the deleted case are merged into the retained case
⚠️ Warning: Because one case is permanently removed from the system this action should be used carefully and cannot be undone.
How to Merge Cases
The merge must always be initiated from the case you want to retain. The case you search for becomes the Source Case and will be permanently deleted after the merge is complete.
- Open the case you want to keep
- From the Case Overview page click the Options menu
- Select Merge
- In the search field enter the case number of the case you want to merge and remove
- Select the correct case from the search results
- Confirm the merge
What Happens During the Merge
Once confirmed:
- The Source Case is exported as a zip file
- That export file is automatically attached to the retained case
- Data selections from the Source Case are merged into the retained case
- The Source Case is deleted from the system and will no longer appear in searches
Important Considerations
- Merging cases cannot be undone
- Always confirm you are working from the correct case before initiating a merge
- Carefully verify the case number you search for
- Review both cases before merging to ensure no information is lost unintentionally
