Understanding and managing Clery-related case notifications in SafeGrounds

About Notifications

The Notifications page is available only to users with Clery Classification permissions. Users who do not have Clery access will not see this tab in the application.

This page helps Clery users identify cases that may require Clery classification by automatically scanning case-related documents and text for Clery-related keywords.

If Clery has not been applied to a case and relevant keywords are detected, a notification is generated so the case can be reviewed.

Note: This process is intended to support early detection and review — it does not automatically classify a case.

How Notifications Work

The system scans documents and text associated with cases for Clery-related keywords such as attack, hit, gun, stolen, alcohol, and similar terms.

When a potential match is found:

  • A notification is created
  • The case appears in the Notifications list
  • Clery users are alerted so they can review the case and determine whether Clery classification should be applied

Notifications Page Layout

The Notifications page uses a split-view layout with a list panel on the left and a details panel on the right.

Notification List

The left panel displays a list of notifications, including:

  • The case number
  • The date the keyword match was detected

Selecting a notification from the list opens its details in the right panel.

Notification Details

The right panel shows details for the selected notification:

  • Case Number — The unique identifier for the case where the keyword was detected
  • Classification — The classification currently applied to the case
  • Matched Text — A snippet of text from the document or case notes where the Clery-related keyword was found. Detected keywords may be highlighted for visibility
  • Match Score — A confidence score generated by Azure indicating how closely the detected content matches Clery-related keywords. Higher scores suggest a stronger match and may help prioritize which cases to review first
  • View Case — Clicking Click to View Case opens the full case so the user can review details and determine whether Clery classification is required

Next Steps

When a notification appears:

  1. Review the matched text and match score.
  2. Click View Case to open the full case.
  3. Determine whether Clery classification should be added or updated based on the case details.

Notifications remain available until reviewed and acted upon by a Clery user.
