What's New
Release notes document the latest updates, improvements, and changes made to SafeGrounds. This section will be updated with each new release.
Note: Release notes are available from January 2025 onwards. For older release history contact your SafeGrounds administrator.
March 2026
Enhancements
- WAVR-21 — Save & Supplemental Assessment — Enhanced WAVR-21 functionality to mirror the experience available in Evaluations. A new Review Type dropdown has been added with the following options:
- Initial Assessment — Replaces the previous single WAVR-21 entry
- Supplemental Assessment — Allows additional reviews to be completed on an existing record
- Classification Owner Portal — Active Cases Range Filter — Enhanced the Active Cases page under the Classification Owner tab with a new Range dropdown allowing Classification Owners to filter active cases by:
- 1 Month
- 3 Months
- 6 Months
- 1 Year
- All
- Unreviewed Cases Widget — Case Status Filter — Enhanced the Unreviewed Cases dashboard widget with a new Case Status dropdown accessible via the Edit Widget option in the ellipsis menu:
- Only Active Cases
- Only Closed Cases
- All Cases
- Case Overview — Inline Editing — Enhanced the Case Overview page with inline editing capability allowing users to update case information without navigating to the Edit page.
- Hover over any editable field to reveal a pencil icon then click to make changes directly on the page
- Click the blue checkmark to save. Once saved the checkmark will remain displayed in green to confirm the update was applied
- Case Types — Editable via the Options button in the Case Header
- Attributes — Editable via the Edit page in the Case Menu
- Created By — Not editable
Updates
- TAT Full Cases — Default Phase & Resolution Update — Updated TAT full cases to improve workflow from the start of a case.
- The default phase has been changed from PreEval to TAT Active making the resolution available immediately when a case is created
- Evaluation has been removed from the To Do widget on the Dashboard as it is no longer part of the TAT Full workflow
- Urgency Per Classification — Add/Edit Case & Case Overview — Updated urgency handling for classifications that support urgency settings. Previously only available for CASS, urgency has now been extended to HRL and PACE as well.
- When a case type is selected from a classification that has urgency configured the Urgency and On Call fields will appear automatically
- The Urgency field is now tracked per classification allowing users to set a different urgency for each applicable classification on a case
- Urgency is now a required field when applicable
- If all case types are removed from an urgency-enabled classification the Urgency and On Call fields will no longer appear on subsequent edits
- The Edit Case Types option on the Case Overview page now reflects this same behavior consistent with the Add/Edit Case experience

Enhancements
- Platform Upgrade — .NET 10 — Upgraded the SafeGrounds application to .NET 10, improving overall system performance, stability, and long-term maintainability. This ensures the application remains aligned with current platform standards and supported technologies.
- Classification Owner Portal — Active Cases Page — Added a new Active Cases page under the Classification Owner tab displaying a grid of cases that have been active within the last three years and are still active within the selected classification. This improves visibility for Classification Owners managing ongoing cases.
- Classification Owner Portal — Access Management — Enhanced the Owner Access page with a new Add User button allowing Classification Owners to grant permissions directly from this page, similar to the user management experience on the Profile Account page.
- Merge Case Upgrades — Updated the Merge Case functionality to allow merges when evaluations exist on a case. Previously merges were blocked if an evaluation was present. Now:
- The merge is allowed
- The merged source case is exported as an attachment
- The attachment is added to the retained case for recordkeeping
Updates
- Youth Protection Intake — Language Update — Updated the language in the "What happens to the incident report?" section of the youth protection intake form
- WAVR21 — Risk Level Descriptions — Resolved an issue where all final risk level descriptions displayed the same text. Each risk level now displays its correct corresponding description
Bug Fixes
- Profile Overview Permission Error — Fixed an issue where viewing the Profile Overview from an involved party could throw a permission-related error. A permission check has been implemented to prevent the error
- Profile — Reported On Field — Fixed an issue where the Reported On field could appear blank. The value now consistently displays in the profile case list
- Person Lookup — Duplicate Character Entry — Resolved an issue where characters entered into the Person Lookup field would duplicate while typing. User input now registers correctly without repeating letters
- Subscriptions Page — Save Processing Issue — Resolved an issue where saving case type subscription updates caused the Save button to remain in a processing state. The Save function now properly processes updates and no longer spins indefinitely
- Dashboard — View Classification Dropdown — Fixed an issue in the Dashboard widget editor where the View Classification dropdown could not be cleared once a selection was made. Users can now clear the dropdown selection as expected
- Duplicate Evaluation Links in Case Menu — Resolved an issue where duplicate Evaluation links appeared in the Case Menu for certain classifications. The duplicate links have been removed

Enhancements
- Search Pages — Updated the search page layout to improve usability and reduce navigation friction. Added a new Profile Search tab that allows users to search for and view profiles with active Preservation Holds. Access is controlled by the ViewProfile permission.
- Preservation Holds — Added support for filtering cases by Preservation Hold status on the All Cases page using Advanced Filters.
- Dockets — Redesigned the Dockets experience to improve usability and clarity. Introduced a dedicated page for viewing previous dockets replacing the slide-over view. Improved visibility into which previous dockets contain associated cases.
- Docket Navigation — Fixed an issue where navigating from cases and returning to dockets would always default to the current docket instead of the previously viewed docket.
- Adjustable Columns — Added support for adjustable columns on the Dashboard and All Cases pages allowing users to customize column widths for improved visibility and usability.
Bug Fixes
- TAT Resolutions — Fixed an issue where the TAT resolution selection list reset to the beginning after each selection. The list now maintains its scroll position when an item is selected.
- Search and Lookup — Fixed errors occurring on search pages that could result in unexpected behavior. Resolved an issue where Person Lookup duplicated the first character during input.

Bug Fixes
- Multi-Select Fix — Users can now press Enter to select an action type without receiving an error message
- Missing "Mark as Complete" Button — The Mark as Complete option is now available in the action ellipsis menu as intended
- Case Ping Link Fix — Links within Case Ping are now functioning correctly
- Template Links Not Displaying as Links — Hyperlinks inside Templates now appear and behave correctly
Updates
- The functional area for arrest disclosures made into full cases has been updated from CASS to PACE
- A new CASS action has been added
- On Clery cases, Clery Assessments now display data retention delete status for cases that have reached their retention period
- New options have been added to the Type of Employee dropdown menu and the Former Employee/Alum dropdown menu
Power BI
- Respect@ Classification has been added to the ER Academic and ER Medical Power BI dashboards to ensure accurate counts for both groups
- The PACE team's request for Recidivism reporting has been added to their dashboard
User Guide
- Continuing to expand and refine the User Guide. The Reports Overview section and the Templates page have been fully updated
November 2025 — Release 1
WAVR-21 Form Enhancements
- Updated the Change dropdowns to better reflect user needs
- Converted Critical Risk Factor items into a checklist for easier use and readability
- Enhanced the Final Risk Level Decision section to support improved data extraction and reporting
CASS Power BI Updates
- Added the CASS Referral Form as a new report source
- Updated the Final Time Scale for improved accuracy and insight
User Guide Updates
- The Searching Pages section has been updated to reflect recent functionality changes
Bug Fixes
- Sanctions with multiple classifications now display correctly
- Users without access to certain classifications will still see appropriate sanction information
- Completed sanctions now correctly update and no longer appear as "Sanction Pending"
October 2025 — Release 2
User Guide Updates
- The SafeGrounds User Guide is in the process of being fully refreshed to reflect the latest system design and functionality
- Main Menu, Dashboard, and Widgets pages now include updated screenshots and revised instructions
- Add/Edit Case and All Cases pages have also been updated with new visuals and current information
- The "Diversity & Equity" option has been replaced with "Discrimination or Harassment" across all compliance intake forms to reflect current terminology and reporting standards
Case Type Updates
- Updated Compliance Academic and Health System case types
- Added a new HR Case Type for both HR Academic and HR Medical areas
Power BI Reporting
- Introduced "Referred As" phase into Compliance Reports now available as both a filter and a visual in the Power BI report
October 2025 — Release 1
WAVR-21 for TAT
A new WAVR-21 form is now available for Threat Assessment Team (TAT) cases. This is a major enhancement that introduces standardized data entry, supports better tracking, and improves documentation across the TAT workflow.
PACE Power BI Updates
- Improved clarity on time display by month and year
- Added new visuals showing Party Recidivism across cases
New Case Types & UI Updates
- Added a new case type for Report a Barrier — "Micromobility (bikes, scooters, etc)"
- Added new PADHR-Contact Resolution in the Evaluation section
- Updated PADHR Sanctions for improved clarity and reporting
- Added new PACE Case Phases to better reflect the case lifecycle
- Updated CASS Actions for better usability and clearer tracking
Bug Fixes
- To Do List Bug Fix — Fixed an issue where initiated but incomplete Actions were not appearing in the To Do list. These now show up as expected
SafeGrounds Editor Updates
- Spell check is now functional
- Copy/paste now supported
- Full toolbar is always visible and no longer hidden behind an ellipsis

Highlights
- Major system performance boost with updated interface controls
- Power BI Reports can now be viewed directly inside SafeGrounds
- Zoom scheduling integrated with meeting actions and Outlook calendars
- New Protection of Minors intake form for easier reporting
New Features
- Power BI Reports Integration — Reports are now accessible inside SafeGrounds via the Reports page making it easier to view and manage insights without leaving the platform
- Zoom Scheduler Emails — Meetings can now be scheduled through Zoom and will automatically appear as meeting actions in the system and sync with Outlook calendars for seamless scheduling
- New Protection of Minors Intake Form — A new intake form has been added to streamline reporting and ensure compliance with Protection of Minors requirements
- Attach Email Button on Case Overview — A new Attach Email button makes it easy to copy the case URL and quickly email documents or attachments directly into the case
- Disclosure Submitted Date — Users can now see the date a disclosure was submitted directly on the profile view, previously only visible on the dashboard
Updates & Improvements
- Framework Conversion to SyncFusion — All UI controls were converted from Telerik to SyncFusion. This modernization refreshed dropdowns and other interactive elements across the platform and improved overall speed and performance
- PACE Evaluation Updates — The Hazing Evaluation Panel was updated and other sections were removed for clarity and efficiency
- JRI Classification Update — The JRI classification has been removed. When cases are submitted through JustReportIt HR is no longer automatically attached and case classifications have been updated to reflect this change
- Expanded Functional Areas and Attributes — New Functional Areas and Case Attributes have been added along with updates to PACE Phases, PADHR-Contact Case Types, and CASS actions for more accurate case handling
- Disclosure Emails Enhancement — Disclosure-related emails are now sent for non-meeting requests improving communication and visibility
- Docket Actions Simplified — The Move Docket action and Remove Reason option have been retired to streamline workflows
June 2025

- TAT Report Classification Update — The Classification field has been moved to one of the first few columns for better visibility and quicker access
- SafeGrounds CASS Enhancements
- First-Gen Status on Profiles — Now visible in demographic information
- Advanced Filter — Report Source — Cases can now be filtered by report source such as "Hoo Needs Help Application"
- Urgency Descriptors — Added clarity in the "Add Initial Report" field by mapping urgency levels to descriptors:
- 1: 72 hours to 1 week
- 2: 24 to 48 hours
- 3: COB

- 5: Drop Everything
- Removing Dean On Call — SafeGrounds and JRI no longer auto-assign Dean On Call. Managing DOC no longer appears or is assigned
- New Dropdown Options
- New Functional Areas — A range of new options are now available to better classify and categorize cases
- PADHR Contact Resolution Requests — New resolution options are available within the evaluation section for PADHR cases
- HRL Case Types — New Case Types available for the HRL Classification
- Case Attributes — New Case Attributes for Hoo Needs Help options are now available
- Just Report It (JRI) Form Text Edits — Renamed policy category to Discrimination/Harassment/Retaliation removing "Bias". Updated auto-generated incident descriptions to reflect the new category label
Bug Fixes
- Simple Case Email Issue — Fixed an issue where submitting a simple case with an involved party sent a blank email. Email content is now correctly populated and delivered
- Blank POM Assessments — Fixed a data rendering issue where completed Protection of Minors assessments appeared blank when opened. Assessments now display correctly

Digital Audit Form Released
A new intake form that feeds into SafeGrounds enables users to request ADA-related audits. This feature streamlines the intake process and automatically creates ADA cases in SafeGrounds. Supported areas include:

New Features
- PACE Disclosures — Now support a "Reviewed" status which triggers an email notification for tracking and accountability
- Profile Disclosure — "No" Response Support — Users can now record a "No" response to a disclosure. "No" responses are displayed clearly on the profile
- UJC/Honor Tab Visibility — The tab on user profiles is now restricted to users with PACE – View permission improving access control
- Added Actions for — CASS, Compliance Academic, HR Medical, HR Academic, and PADHR
- New Roles for Add Team Member — Response Coordinator and Inquiry Investigator
- UI Cleanup — PADHR — Case Photos have been removed from the Case Overview tab for PADHR-Contact cases simplifying the interface and improving focus on relevant data
Power BI Dashboard Updates
- ER Dashboard — Now includes violations helping ensure complete data capture and improved compliance visibility
- CASS Dashboard — Updated with enhancements to improve reporting and usability
- PACE Dashboard — A new Disclosures tab has been added to enhance visibility into disclosure trends and statuses
- HR Academic Dashboard — Updated to a new version with refreshed visuals improving readability and user experience
- TAT Dashboard — Now differentiates between TAT Full and TAT Contact cases providing clearer insights into case types
Bug Fixes
- Advanced Filter Speed Improvement — Improved performance of the Advanced Filter on the All Cases page resulting in significantly faster load times and responsiveness

New Features & Enhancements
- New Help & Support Page — A new Help & Support page has been launched including a comprehensive User Guide, a link to the Customer Portal, and a new Support Email Address
- Add a Profile Not Associated with a Case — Users can now create and manage individual profiles independently of a case allowing greater flexibility in tracking people or parties within the system
- Copy and Add Parties to Cases — Users can now easily copy and add parties between cases streamlining case management and reducing repetitive data entry
- Updated Arrest Disclosure Form — The Arrest form has been redesigned to allow students to answer "No" to disclose an arrest and their answer will be recorded
Fixes & Improvements
- JRI Improvement — The system now adds a Potential PADHR when the Reporter is an Employee and the Complainant and Respondent are unknown
- TAT Evaluation Terminology Update — The field previously labeled "Priority Level" has been renamed to "Level of Concern" to better reflect assessment criteria
- PC Evaluation Panel Enhancements — The PC Evaluation Panel now includes TAT Target and TAT SOC
- Updated Reporter/Respondent Role — Introduced a new combined Reporter/Respondent role to better represent individuals who serve in both capacities within a case
Power BI Reports
- PACE Dashboard — A new Power BI dashboard providing insights into case progress and timelines for the PACE initiative
- HR Roadmap Dashboard — A high-level dashboard designed to support HR strategic planning and initiative tracking offering visibility into milestones, timelines, and resource allocation
- HRL Dashboard — A newly developed Power BI dashboard offering detailed visibility into case progression and timeline tracking for the HRL initiative
